Terms & Conditions

Important information about your membership and use of our facilities

Introduction

These Terms and Conditions ("Terms") constitute a legally binding agreement between you ("Member", "you", or "your") and Unit 9 Gym ("we", "us", "our", or "the Gym") located at Unit 9 Coed Gwilym Industrial Estate, Quay Road, Neath, SA11 2SE.

By signing up for a membership or using our facilities, you agree to be bound by these Terms. Please read them carefully before joining. If you have any questions, please contact us at info@unit-9.co.uk.

Membership Agreement

Your membership agreement begins on the date you sign up and continues according to the membership type you select, unless cancelled in accordance with these Terms.

Membership Types:

  • Rolling Monthly: No minimum term, cancel with 30 days' notice
  • Annual Membership: 12-month commitment paid upfront, best value

Rolling monthly memberships continue until cancelled with 30 days' notice. Annual memberships are valid for 12 months from the date of purchase.

Payment Terms

Payment Schedule:

  • Monthly payments are due on the same date each month
  • If joining part-way through a month, a pro-rated payment will be calculated
  • Payments are collected via direct debit or card on file
  • You must maintain valid payment details at all times

Failed Payments:

If a payment fails, we will attempt to collect payment again. Continued failure to pay may result in suspension or termination of your membership. You remain liable for all outstanding fees.

Price Changes:

We reserve the right to adjust membership prices with at least 30 days' written notice. You may cancel your membership if you do not agree to the price increase.

Cancellation & Cooling-Off Period

14-Day Cooling-Off Period

Under UK law, you have the right to cancel your membership within 14 days of signing up without providing a reason. To exercise this right, you must notify us in writing at info@unit-9.co.uk.

Cancellation Requirements:

  • Cancellation requests must be submitted in writing (email acceptable)
  • At least 30 days' calendar notice is required
  • Membership fees continue during the notice period
  • Fixed-term memberships cannot be cancelled before the minimum term ends (except during cooling-off period)

Termination by the Gym:

We reserve the right to terminate your membership immediately if you:

  • Breach these Terms or our Gym Rules
  • Behave in a manner that is threatening, abusive, or dangerous
  • Fail to pay membership fees
  • Provide false information during registration

Membership Freeze/Suspension

Rolling Monthly Memberships

Rolling monthly memberships cannot be frozen. If you need to temporarily stop your membership, please provide 30 days' notice to cancel, and you can rejoin when you're ready to return.

Annual Memberships (£500 Upfront)

Annual membership holders may request to freeze their membership in certain circumstances such as injury, illness, or temporary relocation. Freeze requests are subject to approval and the following conditions:

  • Minimum freeze period: 2 weeks
  • Maximum freeze period: 3 months per year
  • Freeze requests must be submitted in writing
  • Medical evidence may be required for medical freezes
  • Your membership end date will be extended by the freeze period

Facility Usage & Member Conduct

All members must comply with our Gym Rules and conduct policies to ensure a safe, respectful environment for everyone.

Members Must:

  • Treat all staff, trainers, and other members with respect
  • Use equipment properly and return it after use
  • Maintain personal hygiene and wear appropriate gym attire
  • Follow all safety instructions and signage
  • Not use mobile phones in changing areas
  • Not bring guests unless they have valid day passes

Prohibited Behaviour:

  • Abusive, threatening, or intimidating behaviour
  • Use of illegal substances
  • Dropping or slamming weights unnecessarily
  • Photography or filming without permission
  • Theft or damage to property

Health, Safety & Liability

Important Health Information

You must consult a medical professional before beginning any exercise programme if you have any health concerns, medical conditions, or have been inactive for an extended period.

Member Responsibility:

  • You exercise at your own risk and are responsible for your own safety
  • You must inform us of any medical conditions that may affect your ability to exercise safely
  • You should warm up properly and use equipment correctly
  • You should not train beyond your capabilities
  • You must report any injuries or accidents to staff immediately

Gym Liability:

While we maintain our facilities to high standards, we are not liable for:

  • Personal injury unless caused by our negligence or breach of contract
  • Loss or theft of personal belongings (including from lockers)
  • Damage to personal property unless caused by our negligence

We strongly recommend keeping valuables in a secure locker and obtaining personal insurance.

Personal Training & Classes

Class Bookings:

  • Classes must be booked in advance through our booking system
  • Cancellations must be made at least 2 hours before the class start time
  • Repeated no-shows may result in booking restrictions
  • Class schedules and availability may change without notice

Personal Training:

Personal training sessions are subject to separate terms and payment arrangements agreed between you and your personal trainer. Cancellations typically require 24 hours' notice.

Privacy & Data Protection

We collect and process your personal information in accordance with UK GDPR and the Data Protection Act 2018. For full details on how we handle your data, please see our Privacy Policy.

By joining Unit 9 Gym, you consent to us processing your personal data for membership administration, payment processing, and service delivery. You may opt out of marketing communications at any time.

Intellectual Property

All content on our website and within our facilities, including logos, images, class names, and training programmes, are the intellectual property of Unit 9 Gym and are protected by copyright laws.

You may not reproduce, distribute, or use our intellectual property without written permission.

Changes to These Terms

We may update these Terms from time to time to reflect changes in our practices, services, or legal requirements. We will notify members of significant changes by email or by posting a notice at the gym.

Continued use of our facilities after changes have been notified constitutes acceptance of the updated Terms. If you do not agree to the changes, you may cancel your membership in accordance with our cancellation policy.

Dispute Resolution & Governing Law

If you have a complaint or dispute, please contact us first at info@unit-9.co.uk. We will make every effort to resolve the issue amicably.

These Terms are governed by the laws of England and Wales. Any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.
